We need high-level executive-assistant to executives or senior management within an organization. This role involves managing schedules, coordinating meetings, handling correspondence, organizing travel arrangements, and performing various tasks to facilitate the efficient functioning of the executive’s office.
Job Responsibilities
Act as the point of contact: You’ll be the bridge between executives, employees, clients, and external partners
Manage information flow: Handle emails, phone calls, and other communications in a timely and accurate manner
Calendar management: organize and maintain executives’ calendars, scheduling meetings and appointments
Travel arrangements: make travel and accommodation arrangements for executives
Expense tracking: keep track of daily expenses and prepare reports
Office management: maintain office supplies and inventory
Communication: format internal and external communication (memos, emails, presentations, reports)
Meeting support: attend and take minutes during online meetings
Phone calls and correspondence: screen and direct calls, distribute correspondence
Job Requirements
Work experience: prior experience as an executive assistant, or in a similar role
Google suite background (Docs, Sheets & Slides)
Social media management and daily posts
Basic Photoshop experience
Experience with newsletters (Constant Contacts is a plus)
Outstanding organizational skills and effective time management
Pay attention to details
Communication: fluent English verbal and written communication skills
Discretion and confidentiality: handle sensitive information with care
Other projects as business requires
Ability to work both Europe and USA business hours and alternate as needed
Education: Bachelor’s degree or equivalent experience
